From Lesson 5.1 of the Online Course

AI agent team with handoff notes

Gathering facts and writing are different jobs, and splitting them makes each one easier to check.

After this lesson, you can split one task across three roles, a researcher, a drafter, and a checker, with a handoff note between each.

Three roles cover most tasks:

  • Researcher: gathers facts from your inputs, and lists what's still unknown.
  • Drafter: writes from the researcher's facts only.
  • Checker: reviews the draft against a checklist. Lesson 5.2 builds this role.

A handoff note is what one role passes to the next. It's short and structured: facts, sources, unknowns, and what to do next. Each role works in its own chat, and you carry the note across. That way, you see every handoff.

Prompt to copy

You are the researcher on a three-role team. Your job is to gather facts for [task].
Use only my inputs below. Write a handoff note in this shape:
HANDOFF NOTE 1: researcher to drafter
Facts: [each fact, one per line, with where it came from in my inputs]
Unknowns: [each thing the drafter will need that my inputs leave out]
For the drafter: [one line on what to write and for whom]
Stop after the handoff note.

My inputs:
[paste your notes, with placeholders for private details]

Starter task and notes to paste:

Task: a short equipment request note to the office budget lead
Team notes:
- [Team member 1]: "My monitor flickers. Could we get a 27-inch monitor? About $220."
- [Team member 2]: "We need a second label printer for the mail room, same model as the one we have. I don't know the model number."
- [Team member 3]: "Two of the meeting-room chairs are broken. Replacement chairs are about $140 each."
- Office manager note: requests go to [Budget lead] by the end of next week. Budget left this quarter: $900.

Before and after

Before

A chat prompt done by hand, every week

Write an agenda for our Tuesday team meeting. Topics: [topic 1], [topic 2], [topic 3]. Then write the invite email.

Retyped by hand every week, then copied, fixed, and sent.

After

The same task as a saved agent brief with an approval step

  • Goal: A one-page agenda and an invite email for our weekly team meeting on [day].
  • Steps you may take: 1) Ask me for this week's topics and any carry-over items. 2) Put them in our agenda format: time, topic, owner, decision needed. 3) Draft the invite email with the agenda pasted in.
  • Stop and ask me before: anything is sent, shared, or added to a calendar.
  • Check: Mark [CHECK] beside any name, date, or time you had to guess.
  • Approval: Show me the agenda and invite as drafts. I'll reply "go ahead," then I'll send the invite myself.
  • Done when: every agenda item has an owner and a decision needed.

What you'll leave with

  • Your agent playbook. 6 saved agent briefs, a skills library, 3 routines with checks, and a team with approval points, in one place you open each week.
  • Agent briefs that hold up. Stop rules, "Done when" checks, step reports with a checkpoint, and an assumptions line.
  • A team with sign-offs. A researcher, a drafter, and a checklist checker, with handoff notes and two points where you sign off.
  • Three routines with checks. Each with a check line, a clear "nothing new" result, a run log, and an off switch.
  • Connections with the least access that works. A read-only connector, a draft-only connection that saves to a review folder, and an approval step before anything leaves.
  • A skills library. Focused skills, each checked on a hard input, with versions, change notes, and an index.
  • A weekly 15-minute review. Plus a stop-steps card and an incident note for the times an agent gets it wrong.
  • Permission cards and an access audit. What each app can read and change, and a check every three months.

Common questions

Do I need a paid AI plan?

Not for most lessons. A few optional steps need a paid AI plan, such as Claude Pro. Each AI company sets its own plans and prices, so check the plan page of the tool you use before you subscribe.

Do I need to know how to code to use AI agents?

No. Every lesson is no-code. You work in AI chat tools and the apps you already use, not in code.

What's the difference between AI agents and agentic AI?

An AI agent is an AI that works toward a goal through several steps, such as planning, looking things up, and drafting. Agentic AI is the wider name for AI that works this way. This Course shows you how to brief, run, and check AI agents for your own tasks.

Do I need the free 5-day educational series first?

No. Module 1 starts by adding stop rules and success checks to an agent brief.

How long do I have access?

Your Course is in your members area for as long as we offer it.
